Invite people

People join an organization by invitation. An invitation names the organization role and, for members, the workspaces to join and the role in each. The person gets an email with a link that works for 14 days, and must accept it with the address it went to.

Before you start

• You're an owner or admin of the organization.
• The email addresses, and the role each person needs. See Roles and permissions.

Steps

   Open Members

   Go to Settings → Organization → Members and choose Invite people.

   Add the addresses

   Type them under Email addresses, separated by commas or new lines, up to 20 at a time. A repeated address is sent once.

   Choose the organization role

   Admin (members, workspaces and billing; admin of every workspace), Billing (billing and usage only) or Member (only the workspaces you tick).

   Choose the workspaces

   For a member, tick at least one workspace and pick their role in each: Admin, Editor or Viewer (Editor to start with). The open workspace is ticked for you. For a billing member this is optional, and for an admin there's nothing to choose.

   Send

   Choose Send invitation (or Send 3 invitations). Each person gets an email, "<your name> invited you to <organization> on SentientOne", with an Accept invitation button. An address that couldn't be sent to stays in the box with the reason.

What the invited person sees

• The link opens a page, "Join <organization> on SentientOne", that shows who invited them, the role, the workspaces and the expiry date.
• Signed in with the invited address, they choose Accept invitation and land on Home in one of your workspaces.
• Signed out, they choose Sign in to accept, or Create an account if they're new. The account must use the invited address; they come back to the invitation afterwards. Someone who creates an account this way also gets an organization of their own, with its own 200 free credits, separate from yours.
• Signed in as someone else, the page says so, "You're signed in as A, but this invitation is for B", with Sign in as B and Stay signed in as A.
• Someone who is already in the organization keeps their role, unless the invitation makes them an admin; a workspace role only ever goes up.

Pending invitations

Under Pending invitations, Resend sends a fresh email with a new link and a new 14 days (the old link stops working), and Revoke stops the link at once. There's one pending invitation per address: to change its role or workspaces, revoke it and invite again.
